1. St Hilary Obligations and Commitment

This Privacy Policy explains how we collect and handle personal information (including sensitive information).  It describes the type of information we collect, why it is collected, how we keep the information secure, how you can access and correct the information, and how you can make a privacy complaint.

When collecting, holding, using, and disclosing personal information, including sensitive information, St Hilary’s is required to follow:

  • the Health Privacy Principles in the Health Records Act 2001 (Vic);
  • the Privacy and Data Information Act 2014 (Vic);
  • the Notifiable Data Breaches Act 2017 (Cth);
  • in some instances, the European Union’s General Data Protection Regulation 2016/79 (EU GDPR).

St Hilary’s is committed to protecting personal information in accordance with these laws and we carry out our activities.

2. What is personal information?

Personal information is recorded information (including images) or opinion, whether true or not, about a living individual whose identity can reasonably be ascertained.

Sensitive information is any part of personal information and includes information St Hilary’s may collect such as racial, or ethnic origin, religious beliefs, membership of a professional or trade association, criminal record, or health information.

Our collection, use and disclosure will comply with the Australian Privacy Principles.

3. What types of personal information does St Hilary’s collect and hold?

St Hilary’s only collect personal information that is reasonably necessary for one or more of our functions or activities or to ensure that we comply with relevant laws.  The personal information we collect is:

  • Name and date of birth.
  • Current and previous address.
  • Telephone and mobile phone numbers.
  • Email addresses. 
  • Spouse’s name.
  • Date of baptism, confirmation, ordination, or consecration as part of the Parish Register.
  • Information required to deliver integrated Pastoral care.
  • Requests for public prayer.
  • Names used in church rosters.
  • Name and contact details related to Parish Facilities Hire.
  • Name and contact details related to involvement in and provision of Parish community programs.
  • Name, contact details and medical contact details related to incident/emergency information.
  • Names and other related information pertaining to employment information including qualifications.
  • Names and contact details related to providing Police and Working with Children Checks.
  • Names, addresses and contact details for inclusion or amendment of details in the Parish Electoral Roll.
  • Names and related information pertaining to Clerics licensed by the Bishop.
  • Names and related information pertaining to Laity licensed to minister in St Hilary’s.
  • Names and related information related to Laity elected to positions of authority at St Hilary’s such as Wardens and Parish Council.
  • Names of Job applicants, staff members, volunteers, and contractors.
  • Names and contact details related to Contract management.
  • Names, photos, etc for use in publications, including newsletter and on the St Hilary’s website and other social media platforms such as You Tube.

In some circumstances, you can also choose to deal with St Hilary’s anonymously or using a pseudonym, or you can choose not to provide us with some or all your personal information or ask that we do not store some or all of it.  This may affect St Hilary’s ability to provide our pastoral and missional purposes of the church ministries as we would like.

4. How does St Hilary’s collect personal information?

St Hilary aims to collect personal information directly from you unless it is unreasonable or not practical to do so.
We may collect personal information in the following ways:

  • Physical, electronic, or online forms.
  • Websites and social media such as Facebook, Instagram, and You Tube.
  • Email.
  • Telephone or facsimile.
  • Hardcopy correspondence.
  • Face-to-face contact (e.g., worship service, events, etc).
  • Sign-in sheets, including at any location at which St Hilary’s may from time-to-time conduct activities.

Information provided by Cookies

Our website uses cookies to provide the functionality necessary to deliver our products and services.  Our website also uses several third-party services such as analytics and security that also utilise cookies.  We do not control these third parties, or their cookies and we refer you to the third party’s website for details on how they use their cookies. You can reject cookies by changing the settings on your browser but doing so may limit your functionality and user experience within our site.

Cookies do not identify individual users.  When you visit the St Hilary’s site, our servers may record information about your usage, the time of your visit, its duration, the pages you visit and style settings.  St Hilary’s does not collect information that can identify the individuals who visit the site.  When you look at our website, Google Analytics compiles data that records and logs your visit.

Access to, and use of, this information is restricted to St Hilary’s.  We will not attempt to track or identify individual users or their browsing activities, except in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect

Google Analytics logs.

St Hilary’s will only use statistics we get from cookies to understand how our website is used so we can continue to improve and update it.

Credit Card details are only processed through the PayPal or Secure Pay services and accordingly not stored by sthils.com

Refund Policy

Online contributions (Donations) to the ministry of St Hilary’s Anglican Church are considered to be non-refundable.

On this website St Hilary’s may collect fees associated with event registrations and/supplies associated with those events.  Occasionally someone may require a refund. All refund requests will be directed to our Finance Team for processing.

Please note, if a refund request is made within 4 weeks of the commencement of an event, the refund will be considered and where applicable, processed at the completion of the event, and only after all associated payments by St Hilary’s have been finalised.  Where applicable, processing fees may be deducted from any refunds processed.  This is to ensure that St Hilary’s can meet all its obligations financially.  If you have any queries regarding this – or require a refund you may contact our Finance Team by contacting the church office.

Where applicable, St Hilary’s will endeavour to deliver goods and services in a timely manner.  Delivery instructions and timeframes will differ according to each applicable purchase.  For further information, refer to your purchase receipt.

All transactions on sthils.com will processed in Australian Dollars.

5. How does St Hilary’s keep personal information secure?

St Hilary’s takes a range of steps to keep any personal information we hold about you secure.  Depending on the circumstances, these may include electronic access controls, premises security, network firewalls and appropriate anti-virus software. We comply with Payment Card Industry Data Security Standards in relation to payment card transactions. Our staff, volunteers and contractors are required to comply with our policies and procedures relating to personal information. We also put in place appropriate contractual requirements with third parties which require them to maintain the security of the personal information.

While we take all reasonable and appropriate steps, we cannot guarantee the security of any information that you send to us using our website or other online means, such as email.  Accordingly, any personal information or other information that you transmit to us through our website or by email is transmitted at your own risk.

Please notify us immediately if you become aware of any breach of security.

We retain personal information for the minimum period for which we are required to retain it under relevant laws. We securely archive any information that we are not actively using. 

6. Your rights in relation to personal information – Access and Correction

If you ask, in most cases we must give you access to the personal information that we hold about you and take reasonable steps to correct it if you consider it is incorrect.  We will try to make the process as simple as possible.

7. How can you make a complaint about our handling of personal information?

If you wish to make a complaint about our handling of your personal information, you can do so by either making your complaint in writing and sending it to the Lead Minister via email info@sthils.com or by telephone: 03 9816 7100.

All complaints will be dealt with under the St Hilary’s Complaints Policy.

Complaints will be reported to the Wardens of St Hilary’s to ensure the issue has been resolved efficiently and ensure that any identified risks are managed appropriately, and that action is taken to minimise or eliminate those risks.

If you have a complaint about how we handle your personal information and you feel St Hilary’s has not resolved your issue or complaint to your satisfaction, then you can escalate your privacy concern and you have the right to make a complaint to the relevant data protection authority.
